WhatsApp template rejected: reasons and fixes
Updated: 30 October 2026
Short answer
WhatsApp templates are usually rejected for formatting problems with variables, unclear purpose, shortened links, prohibited content or a category that does not match the wording. Read the reason shown for the rejection, fix that specific issue, add clear sample values, and resubmit. Most rejections can be fixed by changing the wording.
First, read the rejection reason
Your provider’s dashboard or WhatsApp Manager shows the status of each template and usually a reason. Start there, because guessing often leads to a second rejection. The reason can be general, so use the table below to work out the likely cause. Our free template category checker flags many of these issues before you submit.
Common reasons and how to fix them
| Problem | Example | Fix |
|---|---|---|
| Variable at the start or end | “{{1}}, your order has shipped” | “Hi {{1}}, your order has shipped. Thank you.” |
| Variables skip numbers | {{1}} followed by {{3}} | Number them in order: {{1}}, {{2}}, {{3}} |
| Too many variables, too little text | “{{1}} {{2}} on {{3}} at {{4}}” | Add enough fixed words to show what the message is about |
| Shortened links | bit.ly links | Use a full link on your own domain |
| Vague purpose | “Hi {{1}}, {{2}}” | State the purpose in fixed text, and use variables for details only |
| Wrong category | A discount inside a utility template | Remove the offer, or submit it as marketing |
| Unclear sample values | Sample “abc” for a name | Use realistic samples, such as “Priya” |
| Spelling and format errors | Random capitals, broken formatting | Write it as a clean, normal message |
| Language mismatch | Hindi text under an English template | Choose the language the message is really written in |
| Prohibited content | Goods or services barred by WhatsApp’s commerce policy | Check the policy; changing wording may not be enough |
Category problems
Meta sorts templates into marketing, utility and authentication. Getting this right affects approval as well as what you pay.
- Marketing: offers, launches, invitations and anything promotional. If in doubt, treat it as marketing.
- Utility: an update about a specific order, booking, payment or request that the customer already has with you.
- Authentication: one-time passwords, using the restricted format Meta provides.
A common mistake is adding one small sales line to an order update: “Your order has shipped. Get 10% off your next one!” That line can make the whole template marketing. Send the update and the offer separately. See what each category costs in the pricing guide.
Before and after
| Likely to be rejected | Better |
|---|---|
| {{1}}, click here bit.ly/abc | Hi {{1}}, your invoice for order {{2}} is ready. You can view it at https://yourdomain.com/invoices. Thank you. |
| SALE!!! HURRY!!! {{1}} | Hi {{1}}, our festive sale runs until Sunday, with up to 20% off selected items. Reply STOP if you prefer not to get offers. |
| Your booking update {{1}} | Hi {{1}}, your appointment at {{2}} is confirmed for {{3}}. Reply here if you need to change it. |
How to resubmit
- Find the likely cause from the reason shown and the table above.
- Rewrite the message so that the fixed text alone explains its purpose.
- Paste it into the checker to catch any remaining issues.
- Add realistic sample values for each variable and any header media.
- Submit it under the correct category and language.
- If it fails again with no clear reason, request a review or ask your provider’s support team.
How to avoid rejections
- Use variables for details only: names, dates and order numbers, not whole sentences.
- Write as if to one person: clear, polite and specific.
- Keep it short: the body limit is 1,024 characters, but most good templates are far shorter.
- Separate purposes: one template for order updates and another for offers.
- Use your own domain: full links are clearer to reviewers and customers.
- Make opt-outs easy: marketing templates should give people a simple way to stop hearing from you.
When approval is not the real problem
An approved template can still perform badly. If customers block it or report it, Meta can reduce its reach, pause it or lower your number’s standing. Read WhatsApp quality rating and bans to protect the number you send from.
In Nexora, you create templates inside the app, track their approval and see Meta’s category decision for each one. If you would rather not write them yourself, the AI tools on Flex and Empire include a Message Generator to give you a first draft.
Frequently asked questions
- Why was my WhatsApp template rejected?
- Common reasons are a variable at the start or end of the message, variables that skip numbers, too many variables for the amount of text, shortened links, prohibited content, a mismatch between the category and the wording, or sample values that do not make the message clear.
- How long does WhatsApp template approval take?
- Often minutes to a few hours, but some reviews take longer. If a template stays pending for more than a day or two, check its status and contact your provider's support.
- Can I appeal a rejected template?
- Yes, Meta offers a review request through WhatsApp Manager, or through your provider. If the rejection reason is clear, it is usually faster to fix the wording and submit it again.
- Why did my utility template become marketing?
- Usually because it includes promotional content or is not tied to a specific order, booking or request. A template with any promotional content can be classified as marketing, even if most of it is an update.
- Can I edit a rejected template and submit it again?
- Yes. Fix the problem and resubmit, or create a new template with a new name. Before you do, run the wording through a checker so that you do not repeat the same mistake.
